Frameworks allows you to schedule tasks to run Once Only, Daily, Weekly, Fortnightly or Monthly.

  • The Criteria tab is used to capture the criteria for the task that needs to be performed, specific to the activity. It contains the information needed to run the task.
  • The Schedule tab is used to schedule the task to run at a given time. By default it runs now. 
  • The Output tab is used to view the results of the completed task (dependent on how you schedule it).

Refer to the following processes for further information:

Scheduling Once Only Tasks

(info) Note: The screenshots below apply to how to import a Chart Of accounts one time only.

To schedule once only tasks, perform the following:

1. Access the relevant task (For example, Ledger Chart Of Accounts Import, Activity Task Scheduler Data Purge & Archive, Central Allocations Scheduled Task and/or Notification Tasks).

2. Click the tab. The scheduled task is defaulted to run One Time and is set to run at the current system date & time.

3. If applicable, update the Start date and time or use the date finder to search for, then select the appropriate date & time to run the task.

(info) You can set the start time to run in the future (minutes, hours, days, months etc).

(info) If the start date / time is back dated, the task will run immediately, therefore, if the tab has been open for a while and the current date / time has changed, clicking will still run the task immediately.

4. Return to the first tab (For example, or tab), complete the criteria, then click to submit the task.

(tick) Refer to the specific processes for how to complete the Criteria tab. That is, Ledger Chart Of Accounts Import & Activity Task Scheduler Data Purge & Archive & Central Allocations Scheduled Task.

5. A message is displayed dependent on when you run the report. Refer to the message for further information.

6. If run now, the tab displays the results of the completed task. If you ran the task immediately, you can click on the reports generated. If run later, the Task Scheduler Queue contains the ouput.

7. Refer to the specific processes for correcting any errors. That is, Ledger Chart Of Accounts Import & Activity Task Scheduler Data Purge & Archive & Central Allocations Scheduled Task.


Scheduling Daily Tasks

(info) Note: The screenshots below provide examples of a daily Chart Of accounts import task.

To schedule daily tasks, perform the following:

1. Access the relevant task (For example, Ledger Chart Of Accounts Import or Activity Task Scheduler Data Purge & Archive or Central Allocations Scheduled Task).

2. Click the tab, then select Daily.

(info) The scheduled task is defaulted to run One Time and is set to run at the current system date & time.

2. Update the Start date and time or use the date finder to search for, then select the appropriate date & time to run the task.

3. If applicable, update the Recur Every field from the default of daily (1 day) to how often the task should occur, if not daily. The task will be executed at the same time set in the start date above each day.

(info) For example, if you'd like the task to run every second day, type 2. If you'd like the task to run every 4th day, type 4.

4. Return to the first tab (For example, or tab), complete the criteria, then click to submit the task.

(tick) Refer to the specific processes for how to complete the Criteria tab. That is, Ledger Chart Of Accounts Import & Activity Task Scheduler Data Purge & Archive & Central Allocations Scheduled Task.

5. A message is displayed dependent on when you run the report. Refer to the message for further information.

Scheduling Weekly or Fortnightly Tasks

(info) Note: The screenshots below provide examples of a weekly or fortnightly Chart Of accounts import task.

To schedule weekly or fortnightly tasks, perform the following:

1. Access the relevant task (For example, Ledger Chart Of Accounts Import or Activity Task Scheduler Data Purge & Archive or Central Allocations Scheduled Task).

2. Click the tab, then select Weekly.

3. Update the Start date and time or use the date finder to search for, then select the appropriate date & time to run the task. The task will be repeated at the same time each day.

4. If applicable, update the Recur Every field to indicate how often the task should occur.

(info) You can select the task to run on multiple days of the week by ticking the relevant days.

(info) For example, if you'd like the import to occur fortnightly, type 2 into the Recur Every field. If you'd like the import to occur every 3rd week, type 3 into the Recur Every field.

5. Return to the first tab (For example, or tab), complete the criteria, then click to submit the task.

6. A message is displayed dependent on when you run the report. Refer to the message for further information..

7. If run now, the tab displays the results of the completed task. If you ran the task immediately, you can click on the reports generated. If run later, the Task Scheduler Queue contains the ouput.

8. Refer to the specific processes for correcting any errors. That is, Ledger Chart Of Accounts Import & Activity Task Scheduler Data Purge & Archive & Central Allocations Scheduled Task.


Scheduling Monthly Tasks

(info) Note: The screenshots below provide examples of a monthly Chart Of accounts import task.

To schedule monthly tasks, perform the following:

1. Access the relevant task (For example, Ledger Chart Of Accounts Import or Activity Task Scheduler Data Purge & Archive or Central Allocations Scheduled Task).

2. Click the tab, then select Monthly.

3. Update the Start date and time or use the date finder to search for, then select the appropriate date & time to run the task.

4. Type the months you would like the task to run in the Months field (For example, January,February,March ((warning) use a comma between each month, with no spaces) or select these via the search . Alternatively, tick the Month field to select all months.

5. If appicable, click Days then via the search select which days in the month the task will be run.

6. If appicable, click On, then via the search , select which week and day in the month the task will be run.

(info) You can select either the days of the month the task will run (For example, day 1, day 5, day 15 in the Days field in step 4) or days of the week per week in which to run the monthly task (For example, the First week of the month on a Sunday in the On field.).

7. Return to the first tab (For example, or tab), complete the criteria, then click to submit the task.

8. A message is displayed dependent on when you run the report. Refer to the message for further information.

9. If run now, the tab displays the results of the completed task. If you ran the task immediately, you can click on the reports generated. If run later, the Task Scheduler Queue contains the ouput.

10. If you receive a message indicating there were errors, correct the errors in the import file then try again.

11. Refer to the specific processes for correcting any errors. That is, Ledger Chart Of Accounts Import & Activity Task Scheduler Data Purge & Archive & Central Allocations Scheduled Task.
