Promotions allows you to create and maintain promotion prices for all or selected customers. All transactions for these customers that include products or product groups on promotion attract the special promotion prices specified for the period allocated.


Refer to the following processes for further information:


Accessing Promotions

To access Promotions, perform the following:

1. Click  then type Promotions (or select Promotions from the Special Pricing - Maintenance navigation tree).

2. The Promotions dashboard is displayed.


Searching for existing Promotions

To search for existing Promotions, perform the following:

1. Click  then type Promotions (or select Promotions from the Special Pricing - Maintenance navigation tree).

2. Search for the promotion by the Promotion ID, Description and/or Branch, then click .



Creating a Promotion

To add a new Promotion, perform the following:

1. Click  then type Promotions (or select Promotions from the Special Pricing - Maintenance navigation tree).

2. Click to create a new Promotion.

3. Type a promotion id into the Promotion* field. Alphanumeric values are acccepted.


4. Type a brief description of the promotion into the Description field.

5. Use the  date finder to select a start date for the commencement of the promotion in the Start Date* field, then if applicable, type a start time for the commencement of the promotion in the (Start) Time field.

6. Use the  date finder to select a finish date for the end of the promotion in the Finish Date* field, then if applicable, type a finish time for the end of the promotion in the (Finish) Time field.

(info) The From Branch and To Branch fields are automatically populated with the Branch the User is assigned to. For Users with multi Branch access, the From Branch and To Branch will show a range of available Branches the User has access to.

(info) The From Zone and To Zone fields fields are automatically populated with the Zone the User is assigned to. For Users with multi Zone access, the From Zone and To Zone will show a range of available Zones the User has access to.

7. If applicable, type the customer group the promotion is for in the Customer Group field or search for it via . For example, builders.

8. If applicable, type the account type you are targeting for the promotion to apply to in the Account Type field or search for it via . For example, standard debtor or COD.

9. Click to create the promotion.

10. Proceed to step 4 in adding products to the promotion and/or adding adding product groups to the promotion.


Adding Products to a Promotion

To add products to a Promotion, perform the following:

1. Click  then type Promotions (or select Promotions from the Special Pricing - Maintenance navigation tree).

2. Search for the promotion you would like to add products to by the Promotion ID, description and/or Branch, then click .

3. Click the Promotion ID link to open the promotion.

4. Click then Add Promotion lines to display the product entry fields

5. Type the product id into the Product field or search for it via .

(info) The Std Cost, Retail GP%, Retail Sell and Sold fields display the current pricing information (before the promotions are applied) & product sell information as per the Product Master File.


6. Select the appropriate pricing rule in the Pricing Rule field via the drop down arrow . A pricing rule code determines how this product is to be priced by prioritizing the values in the GP% field, Promo Disc field or the Promo Sell field. 

 Pricing Rule explanation

(info) A pricing rule determines how this product is to be priced.

Pricing RuleDescription
Fixed Defines a fixed sell price for the selected product line using the figure in the Promo Sell field. This contract sell price does not change regardless of the sell/cost changes to the product.
Disc of RetailCalculates a sell price using the Discount Percentage figure in the Promo Disc field and the Retail Selling Price. The contract sell price will change if the product sell price is changed to maintain the discount percentage.
Gross Profit

Calculates a sell price using the Gross Profit percentage figure in the GP% field and the Branch Cost or if entered, the Promo Cost Price. The contract sell price will change if the product cost  is changed to maintain the GP%. 

(info) The price displayed is based on for example, a discount off the standard sell price, however if branch pricing is in use then the discount is applied to the applicable branch price when the product is sold, which can thus result in a different price to what you see on the screen.

7. Repeat steps 4-6 to add all relevant products to the promotion.

8. Click to save the products to the promotion.


Adding Product Groups to a Promotion

A Product Group is a way of grouping like products together. 

To add product group/s to a Promotion, perform the following:

1. Click  then type Promotions (or select Promotions from the Special Pricing - Maintenance navigation tree).

2. Search for the promotion you would like to add product groups to by the Promotion ID, description and/or Branch, then click .

3. Click the Promotion ID link to open the promotion.

4. Click the toggle icon beside the Product field .

5. Type the product group id into the Product Group field or search via .


6. If applicable, type the relevant sub groups to include in this promotion into the Sub Groups field or search via .

(info) If no specific sub-groups are entered, all sub groups in the product group defined in the step above are automatically included.

7. Type the GP% discount to be applied to products within this product group into the GP% field, then click to add the product group to the promotion.

OR

Type the % discount to be applied to products within this product group into the Promo Disc field, then click to add the product group to the promotion.

8. Repeat steps 5-7 to add all relevant product groups to the promotion.

9. Click to save the product groups to the promotion.


Maintaining Products or Product Groups in an existing Promotion

To maintaining Products or Product Groups in an existing Promotion, perform the following:

1. Click  then type Promotions (or select Promotions from the Special Pricing - Maintenance navigation tree).

2. Search for the promotion you would like to maintain products for by the Promotion ID, description and/or Branch, then click .

3. Click the Promotion ID link to open the promotion.

4. Tick the beside the Product or Product Group line that you would like to edit, make your changes, then click .


Deleting Products or Product Groups from a Promotion

To delete a product or product group from a Promotion, perform the following:

1. Click  then type Promotions (or select Promotions from the Special Pricing - Maintenance navigation tree).

2. Search for the promotion you would like to delete products or product groups from by the Promotion ID, description and/or Branch, then click .

3. Click the Promotion ID link to open the promotion.

4. Tick the beside the Product or Product Group line that you would like to delete.

5. A message is displayed. Click


Maintaining a Promotion

To maintain a Promotion, perform the following:

1. Click  then type Promotions (or select Promotions from the Special Pricing - Maintenance navigation tree).

2. Search for the promotion by the Promotion ID, description and/or Branch, then click .

3. Click on the right side of the screen. The following options are displayed:


4. If applicable, clickto edit the Promotion, make your changes, then click .

5. If applicable, clickto add more products or product groups to the promotion. Refer to Adding Products to a Promotion and Adding Product Groups to a Promotion for further information.

6. If applicable, clickto display the search finder and to find existing products or product groups in the promotion.

7. To edit a product or product group that is already in a promotion, refer to Maintaining Products or Product Groups in an existing Promotion

8. To delete a product or product group that is already in a promotion, refer to Deleting Products or Product Groups from a Promotion.


Deleting a Promotion

You are unable to delete a promotion.
